Check-In

This document will explain how to run and configure Motivation's Check-in module

Launch Check-In

1. Click on "Home" from the Motivation Administration Menu.
2. Click on "Check-In Module" from the drop-down menu.
3. Click on "Run Check-In" from the drop-down menu.

Check-In: Select a Location

1. Startup Code: Enter the startup code of "Washington"
2. Select a Location: Check-In needs to know for which location it will be tracking attendance, therefore, you need to select the correct location.

Click the "Submit" button to run Check-In.

Check-In: Check-In screen

The participants will enter their ID in the "Enter ID:" field and click the "Check-In" button. If you are using bar-coded keytags then the participant will only have to scan their keytag, and they will be checked in.

Check-In: Welcome screen

When a member successfully checks in, a welcome message will be displayed. This message will be displayed for a set period of time (this period of time can be configured), then the screen will return to the Check-In screen. Alternatively, you can return to the Check-In screen by clicking the "Done" button.

Check-In: Unsuccessful Check-In attempt

If a check-in attempt is unsuccessful, an error message will be displayed giving a reason for the failed attempt. To return to the Check-In screen, click the "OK - return to Check-In" button.

Check-In: Set Configuration

To enter the Check-In configuration options, key "SetConfig" in the "Enter ID" field, and click the "Check-In" button.

Check-In: System Configuration

1. Staff ID/Password: To be able to make changes the configuration window requires you to re-enter your Staff ID and Password.
2. Permit enrollments from Check-In?: This option allows participant's who are not in motivation, to complete the enrollment process on the Check-In screen. BSDI recommends that you do no use this option as the Check-In screen is not the place to to this, as it would delay the check process for other participants.
3. Delay on screen after Check-In: This the time that the Check-In Welcome screen will be displayed on a successful check-in. The time is displayed in milliseconds, therefore, 10000 milliseconds equals 10 seconds.
4. Grace Period after membership expiration: This is the time period after a participants membership expires that they are still able to check-in successfully.
5. Check-In Style (re-checkins): See screenshot below for explanation.
6. Permit expired members to enter?: By checking "Yes" this will allow all expired members to check-in.

Click the "Submit" button to record you configuration settings.

Check-In: System Configuration Check-In Style (re-checkins)

1. One check-in per day, overwrite previous: This option will only record one check-in per day for a participant, even if they came in twice in one day. Only the last check-in of the day will be recorded.
2. Check-In, Check-Out to record (or extend) duration: This option would require participants to both check-in and check-out. This allows you to record workout duration data. However, it can be difficult to force your participants to check-out.
3. Permit multiple check-ins per day: This option will record an attendance each time a participant checks in, whether it is once, or several times a day.

Check-In: System Configuration Successful Update

Once you have successfully updated your Check-In System Configuration you will receive a confirmation message. Click the 'Return to Check-In' link to return to the Check-In screen.

Check-In: Batch Entry

Check-In has a batch mode that will allow you to enter a number of check-ins at one time. This would be particularly useful if your computer network was down and your participant were unable to check-in to Motivation, you can enter their attendance data at a later date.

To enter batch mode, key "Batch" in the "Enter ID" field, and click the "Check-In" button.

Check-In: Bulk Entry

1. Select Date/Time: Enter the date and time for which you wish the attendances to be logged.
2. Entry: Enter up to 10 participant ID's.
3. Submit and Continue: Click this button to Submit and Continue to enter more participant ID's.
4. Submit and Return: Click this button to Submit and Return to Check-In.
5. Cancel and Return: Click this button to Cancel your entries and Return to Check-In.

Check-In: Exiting the Check-In module

To exit Check-In key "ReleaseTerminal" in the "Enter ID" field, and click the "Check-In" button.

List of Today's Check-Ins

1. Click on "Home" from the Motivation Administration Menu.
2. Click on "Check-In Module" from the drop-down menu.
3. Click on "Today's Check-Ins" from the drop-down menu.

Today's Check-In Entries

Select the location for which you wish to see today's check-in entries.

List of Check-In Rejections

1. Click on "Home" from the Motivation Administration Menu.
2. Click on "Check-In Module" from the drop-down menu.
3. Click on "Check-In Rejections" from the drop-down menu.

Check-In Rejections

Select the location for which you wish to see the check-in rejections.
