This section will explain how to use Motivation's Bulk Email tool for sending targeted emails to your participants.
BSDI recommends that you access the Bulk Email feature through "Motivation Reporting" after you have selected the participants that you wish to email. This ensures that you only email those participants you intended to email. See the "Motivation Reporting" section for details.
1. Click on "Reports" from the Motivation Administration Menu.
2. Click on "Send Bulk Email" from the drop-down menu.
Please note that the email address of the recipients of the email will not appear in the email message as the each recipient receives the message as a blind copy ("bcc").
1. Query: The query conditions that were used to select the participants that you wish to bulk email. If you wish to change the selection criteria click on the Change/Update Query link. (See the "Motivation Reporting" section for details on how to create/change a query.)
2. Subject: Enter the subject name for the email.
3. Send Message: By default the email will be send immediately. You have the option to change the date and time that the email will be sent. (Please note that the time is Eastern time.) You also have the option to send the email based on the number of days from a specific criteria, such as the number of days from the record creation. Click the drop down to select a different criteria.
4. "From"Address: Enter the email address that the email will appear to have been sent from. DO NOT leave this blank. If there is no email address in this field the email will not be sent.
5. "From" Name: Enter the name that the email will appear to have been sent from.
6. Override opt-out: DO NOT check this box unless this email is of critical importance as it will override participants' preference to not receive program-related email.
7. Message: Enter the content of the email message. ({Fname} field will appear as the participant's first name in the message.)
8. Submit: Click the "Submit" button to send the email message.
9. Cancel: Click the Cancel link to cancel the message without sending.
1. Click on "Reports" from the Motivation Administration Menu.
2. Click on "Review Pending Emails" from the drop-down menu.
1. Delete: Click the Delete link to delete the email message. Please note that you WILL NOT be prompted to confirm the deletion.
2. Change: Click the Change link if you wish to change the email message.
